The words get used interchangeably by people selling both, which makes it hard to work out what you are being quoted for. The distinction is simple and it decides both the price and whether the thing solves your problem.

A chatbot answers. An agent finishes the job. Everything else follows from that.

A chatbot answers

It sits on your website or your WhatsApp, it knows what you told it, and it responds. Good ones capture a lead or book a call at the end. The conversation is the product: when it ends, the chatbot is finished.

This is the right tool when your problem is that people ask you the same things and you are not always there to answer. Opening hours, what you do, whether you cover their area, what happens next.

An agent works

An agent runs a sequence with a goal and no one watching. It takes the enquiry off your form, looks the company up, scores it against your criteria, drafts the reply in your voice, and puts the good ones in your calendar. Nobody asked it a question. It was given a job.

This is the right tool when the problem is not that questions go unanswered but that work does not get done. Prospecting that never happens. Quotes drafted three days late. An inbox nobody has triaged since Tuesday.

Why an agent costs more to own

A chatbot that gives a poor answer costs you a conversation. An agent that acts wrongly has emailed a customer or changed a record, so it needs approval gates on anything irreversible, a full audit trail, and someone maintaining it as your business and the underlying models change.

That is why agents come with a monthly service plan and chatbots often do not. It is not packaging. An unmaintained agent does not stop, it drifts, and a system quietly doing the wrong thing every day is worse than one that is switched off.

Which one your problem needs

Write down what is actually going wrong. If the sentence is "people ask and nobody answers", you want a chatbot, and you will have it in days for less money.

If the sentence is "this work never gets done", no chatbot will fix it, because answering was never the missing part. You want an agent.

Most businesses should start with the chatbot. It is cheaper, it goes live sooner, and it teaches you what your customers actually ask, which makes any agent you build afterwards considerably better.
