It is a fair question and it usually arrives with a note of suspicion, because plenty of vendors do attach a monthly fee to things that do not need one.
Here is the honest version, including where we think a monthly plan is not warranted.
Software breaks loudly. This degrades quietly.
When a normal website breaks, you know. It is down, someone shouts, it gets fixed.
An AI system almost never fails that way. It carries on answering, confidently, while slowly becoming less right. Nobody raises a ticket because nothing looks broken. You find out weeks later when a customer mentions the policy it quoted them, which was last year's.
That quietness is the whole reason maintenance matters here more than in ordinary software.
The four things that change underneath it
A system that was correct at launch drifts because the world around it moves, not because it degrades on its own.
- Your business. Prices change, policies change, you add a service, someone leaves. Every one of those makes a previously correct answer wrong.
- The model. Providers release new versions and retire old ones. A better model can still behave differently on your prompts, and behaviour differences are not always improvements for your use case.
- The integrations. Your CRM updates, an API version is retired, a login expires. Automated work is a chain, and a chain that fails silently is worse than one that fails loudly.
- Your customers. What people ask shifts with seasons, campaigns, and competitors. The questions it was tested against are not the questions it gets in six months.
What maintenance actually is
It is not somebody watching a dashboard for your money. Concretely, on the systems we host:
- Monitoring runs and integrations, so failures alert us rather than you.
- Reading the edge cases. Real conversations where the system hedged or handed over show exactly what to tighten.
- Keeping content current as your prices, policies, and services change.
- Handling model updates, including testing before anything moves.
- Renewing what expires. Credentials and connections that lapse are a common and very boring cause of silent failure.
When a monthly plan is not warranted
We do not attach one to everything, and you should push back on anyone who does.
A straightforward chatbot answering stable questions on a website does not need one. Your information changes rarely, nothing is acting on live systems, and being occasionally out of date is a small problem. Take it, run it, call us when something changes.
The plan is required where a system acts rather than answers, or where being wrong is expensive. Agents touching live systems, and voice receptionists booking real appointments, both qualify, because an unmaintained agent does not sit still, it acts wrongly at scale and nobody notices.
How to judge any maintenance offer
Ask what is included, what response time you get, and what happens when the underlying model changes. If a vendor cannot describe the work concretely, they are charging you for availability rather than doing anything.
Then ask the reverse question, which is the more revealing one: what would happen if we did not take this? A vendor who answers honestly, including "for your setup, not much", is one worth working with.
